Navigating the Storm:
Amazon Inauthentic Item Appeal & Invoice Verification Guide
A comprehensive, step-by-step roadmap to reinstating your listings and protecting your seller account.

Receiving a notification from Amazon about an "Inauthentic Item" complaint is one of the most stressful experiences for any seller. Your listing is suspended, your funds might be held, and your entire account health is at risk. But don't panic. This guide is designed to help you understand why this happened and, most importantly, how to craft a winning appeal.
1. Why Did You Get an "Inauthentic" Complaint?
It's crucial to understand that "inauthentic" doesn't necessarily mean you are selling counterfeits. Amazon's system is highly sensitive and can trigger this complaint for several reasons:
- Customer Complaints: A buyer claimed the item looked different, lacked packaging, or felt "off."
- Brand Owner Reports: A brand reported you for selling unauthorized goods.
- Bot Triggers: Amazon's algorithm flagged keywords in reviews or returns (e.g., "fake," "knockoff").
- Condition Issues: Selling an item as "New" when the packaging is damaged or it appears used.
2. The Golden Ticket: Invoice Verification
The single most important part of your appeal is providing valid invoices. Amazon uses these to trace the product back to the manufacturer or an authorized distributor. If your invoices fail verification, your appeal will fail.
Crucial Invoice Requirements (Do Not Ignore!)
- Format: Must be PDF, JPG, PNG, or GIF. Never submit Word documents or Excel files.
- Date: Must be dated within the last 365 days and *before* the date of the complaint.
- Quantity: The quantity on the invoice must match or exceed your sales volume for that ASIN over the last 365 days.
- Supplier Details: Must clearly show the supplier's name, address, phone number, and website.
- Your Details: Your company name and address must exactly match the information in your Amazon Seller Central account.
- No Alterations: Do not edit the invoice (except to black out pricing, which is allowed). Do not highlight or draw on the document.

3. Writing a Winning Plan of Action (POA)
Amazon wants to see that you take the issue seriously, understand what went wrong, and have steps in place to prevent it from happening again. Keep your POA concise, professional, and structured.
Step A: The Root Cause
"Why did this happen?"
Do not blame the customer or Amazon. Take responsibility. Did you fail to inspect items? Did you use an unreliable supplier? Did the packaging get damaged in transit leading to a customer thinking it was fake?
Example: "After a thorough investigation, we determined the root cause of the inauthentic complaint was due to damaged packaging during FBA transit, causing the customer to question the item's authenticity, even though the product was sourced directly from the authorized distributor."
Step B: Immediate Corrective Actions
"What did you do right now to fix it?"
Show that you acted immediately upon receiving the notice.
- "We immediately removed the ASIN from our inventory."
- "We initiated a removal order for all remaining FBA inventory to conduct a physical inspection."
- "We refunded the affected customer."
Step C: Long-Term Preventative Measures
"How will you ensure this NEVER happens again?"
This is the most critical part. Detail your new standard operating procedures (SOPs).
- "We have implemented a strict 3-point inspection process upon receiving goods from our supplier to ensure packaging is pristine."
- "We will only source inventory directly from the manufacturer or their explicitly authorized distributors."
- "We will add secondary protective packaging (bubble wrap/poly bags) before sending inventory to FBA to prevent transit damage."
4. Fatal Mistakes to Avoid
- ✖ Forging Documents: Never, ever edit an invoice (other than redacting prices). Amazon's fraud detection is sophisticated; this will result in a permanent ban.
- ✖ Sending Retail Receipts: Receipts from Walmart, Target, or other retail stores are generally not accepted as valid invoices for authenticity checks. You need commercial invoices from distributors/manufacturers.
- ✖ Arguing with Amazon: Keep emotion out of your appeal. Stick to facts, root causes, and solutions.
- ✖ Submitting a Generic POA: Copying and pasting a template from the internet rarely works. Tailor the POA to your specific ASIN and situation.
